How to export job costs from E2 Shop System

Get a clean, one-row-per-job E2 Shop System export with estimated and actual costs, ready for margin analysis in Excel or MarginGuard, in about ten minutes.

The problem

E2 Shop System already records what each job was estimated to cost and what it actually cost. Getting that into a form you can analyze across all jobs is where shops lose time: picking the right report, getting one row per job instead of one row per operation, and making sure revenue, estimated cost, and actual cost all come through. E2 exports often contain Unit Price rather than extended revenue. If Quantity Ordered is present, MarginGuard can derive revenue; if not, it asks. Hot Spot queries without cost columns import fine for a job list but can't show variance until you add Margin Summary data as a second file for the same jobs.

What to measure

A usable export has one row per job with at minimum: job number, customer, revenue, and estimated and actual cost (totals or by category). With those, you can calculate margin erosion per job (estimated margin minus actual margin) and see which cost categories drove it. The table below shows exactly which E2 Shop System columns to include.

How MarginGuard helps

Upload the export to MarginGuard and pick E2 Shop System as the source. The E2 Shop System preset recognizes the column names below, shows a readiness score before anything is saved, and blocks unsafe multi-row files instead of guessing. No API, ERP credentials, or IT project is needed.

How to get started

  1. Step 1
    Start with Margin Summary

Margin Summary (or Job Cost Recap / Actual vs Estimated) already has one row per job with sales and cost totals. Set the destination to File and choose Excel or CSV.

  2. Step 2
Or export a job list from Hot Spot

Hot Spot (All Hot Spots) exports Job Number, Customer, Part Number, Quantity Ordered, Status, Due Date, and Unit Price to CSV in a couple of clicks. Add cost columns from Margin Summary if the Hot Spot query doesn't include them.

  3. Step 3
    Skip database dumps

Don't use the Technical Support “Export Data to Empty DB” option or operation-level reports that repeat the job number with totals on every line.

  4. Step 4
    Upload to MarginGuard

Integrations → Import → E2 → upload. If two columns could be revenue (for example Unit Price and Total Sales), MarginGuard asks which one to use and remembers your answer for the next upload of the same report.

Common mistakes

E2 exports often contain Unit Price rather than extended revenue. If Quantity Ordered is present, MarginGuard can derive revenue; if not, it asks. Hot Spot queries without cost columns import fine for a job list but can't show variance until you add Margin Summary data as a second file for the same jobs.

FAQ

Which E2 report is best for margin analysis?
Margin Summary first, Job Cost Recap second, Actual vs Estimated when you want root cause by category. Hot Spot is best for a quick job list.
Is there an E2 Shop System API for MarginGuard?
Not as a supported path today. CSV or Excel export from Margin Summary, Job Cost Recap, or Hot Spot is the realistic connection.
Does this work for Shoptech E2 and E2 Shop System?
Yes. They're the same product line, and column names are the same for import purposes.
Can I combine a Hot Spot export with a cost report?
Yes. Upload the Hot Spot file, then add the cost report as an extra file. MarginGuard joins them by Job Number without double-counting.
