How to use a job costing template
- Pull closed jobs for a recent period (a month or a quarter) from your ERP.
- Paste them into the template, one row per job. Keep estimated and actual in the same bucket definitions.
- Add quoted margin and actual margin columns, then sort by the gap.
- Review the top 10 overruns: which bucket, which machine, which customer.
Want to check a single job first? Use the job cost variance calculator. For the full method, see estimated vs actual job costing.
FAQ
- Can I use these templates without MarginGuard?
- Yes. They are plain CSV files. Open them in Excel or Google Sheets, add your jobs, and add a margin column: (Quoted Revenue − total estimated cost) ÷ Quoted Revenue, and the same with actual cost.
- Which columns are required?
- To calculate margin you need a job number, revenue, and at least one estimated and actual cost bucket. Customer, part, and machine are optional but make it possible to find patterns across jobs.
- Are the ERP samples real exports?
- They are sample files shaped like common reports from each ERP, with fictional jobs. Column names in your system may differ depending on version and report configuration; MarginGuard maps columns by meaning, not exact header text.
