The problem
ProShop already records what each job was estimated to cost and what it actually cost. Getting that into a form you can analyze across all jobs is where shops lose time: picking the right report, getting one row per job instead of one row per operation, and making sure revenue, estimated cost, and actual cost all come through. ProShop already calculates profit live, so its exported Margin column may be computed on a different basis (for example including or excluding outside costs). MarginGuard recalculates from revenue and cost and shows a reconciliation note instead of silently trusting either number.
What to measure
A usable export has one row per job with at minimum: job number, customer, revenue, and estimated and actual cost (totals or by category). With those, you can calculate margin erosion per job (estimated margin minus actual margin) and see which cost categories drove it. The table below shows exactly which ProShop columns to include.
How MarginGuard helps
Upload the export to MarginGuard and pick ProShop as the source. The ProShop preset recognizes the column names below, shows a readiness score before anything is saved, and blocks unsafe multi-row files instead of guessing. No API, ERP credentials, or IT project is needed.

How to get started
- Step 1Open job costing or job P&L
In ProShop, open the job costing / P&L-by-job view (or the profitability report your shop uses).
- Step 2Filter the period
Pick completed jobs for the last quarter plus active jobs with costs posted.
- Step 3Export the job list
Export to Excel or CSV with sell price, estimated cost, and actual cost. Include labor and material columns when available.
- Step 4Upload to MarginGuard
Integrations → Import → ProShop → upload. If your export includes Profit and Margin, MarginGuard checks them against its own math and flags rows that don't reconcile.
Common mistakes
ProShop already calculates profit live, so its exported Margin column may be computed on a different basis (for example including or excluding outside costs). MarginGuard recalculates from revenue and cost and shows a reconciliation note instead of silently trusting either number.

| ProShop column | Job-cost field | Notes |
|---|---|---|
| Job | Job Number | Required. |
| Customer | Customer | Required. |
| Sell Price | Quoted revenue | — |
| Estimated Cost · Actual Cost | Estimated and actual totals | Enough for margin erosion. |
| Est Labor · Act Labor · Est Material · Act Material | Category costs | Optional; enables driver breakdown. |
| Profit · Margin | Reference only | MarginGuard recalculates from revenue and cost, and flags mismatches. |
| Due Date · Complete Date | Dates | Optional. |
| Line | Estimated | Actual | Variance |
|---|---|---|---|
| Total cost | $8,900 | $9,620 | $720 |
| Margin | $3,600 (28.8%) | $2,880 (23.0%) | −$720 erosion |
Revenue $12,500. Labor ran $300 over and material $150 over; the remaining $270 is in categories not split out in this export. The exported Margin column (23.0%) reconciles with MarginGuard's calculation.

FAQ
- Which ProShop report should I export?
- The job costing or job P&L view that lists one row per job with sell price, estimated cost, and actual cost.
- ProShop already shows profit. Why export?
- To rank every job by dollars lost, roll erosion up by customer and category, and run a weekly review with tracked actions.
- What if ProShop's margin differs from MarginGuard's?
- MarginGuard shows both and explains the difference (usually which costs are included) rather than silently picking one.
